What goes on a bill of sale
A bill of sale is the receipt for a private sale. The buyer uses it to prove the price paid when registering and paying sales tax; the seller keeps it as proof of the date the item left their hands. A complete one has:
- Both parties: full legal names and addresses, and usually a phone number.
- The item: year, make, model and the identifying number (VIN, hull ID, serial or HUD label).
- Odometer reading for cars and motorcycles under 20 model years old; federal law requires it.
- Price and payment: the amount in numbers and words, and whether it was paid in full, by deposit, as a trade or as a gift.
- Date of sale and the state whose law applies.
- As-is clause stating there is no warranty, plus any known defects you want on record.
- Signatures of both parties, with a notary block if your state asks for one.
The generator above covers all of it and leaves nothing to interpret at the DMV counter.

Common questions
Is this bill of sale template really free?+
Yes. Fill in the form and download a clean, one-page PDF for any state and any of the six item types at no cost. The optional ready-to-sign pack adds seller and buyer copies, an odometer disclosure and a notary page for $9.
Is a bill of sale legally binding?+
A bill of sale is a signed record of a sale between two parties. Once both sign, it documents the terms, the price, the date and the condition of the item. It is not the same as a title transfer, which still has to happen on the state title or registration.
Which states require a bill of sale?+
About a dozen states require one for every private vehicle sale, and most of the rest require it when the title does not show the purchase price. Each state page here lists the rule, the official form number if there is one, and the agency that handles registration.
Does a bill of sale have to be notarized?+
Most states do not require notarization. Louisiana, Maryland, Nebraska, New Hampshire and West Virginia do in common situations, and a few others ask for it when the bill of sale stands in for a missing title. Every state page says which applies.
What should a bill of sale include?+
The seller's and buyer's names and addresses, a description of the item (year, make, model and VIN or serial number), the odometer reading for vehicles, the price and how it was paid, the date, an as-is statement, and both signatures.
Where does my information go?+
Nowhere. The PDF is built inside your browser. Names, addresses and VINs are never sent to Saleslip or anyone else.
